A large membership base together with many infrequent users created challenges in the existing system, which had extensive and complex functionality that was not suitable for SPF Seniorerna's operations.
At the same time, the existing solution had been overtaken by time, and with an ambitious agenda and long-term goals, SPF Seniorerna wanted to ensure a future-proof solution for managing, notifying, and communicating with its members.
The choice of Softadmin® Member
"We wanted a system that was simple for infrequent users, but advanced enough for those of us who work a lot and often in it to be able to get the data and things we need," says Peter Sikström, Secretary General of SPF Seniorerna. "Multisoft was good at coaching us in knowing what we wanted. It is not always the one who always says what you want to hear who is the nice one," Peter continues.

A complete solution

"You understood what we were going to ask for and dared to challenge. That is also part of your professionalism to be able to do that," says Peter about the requirements process.

”We can fill a couple of minutes just scrolling through SMS and emails from people who are happy with the system and spontaneously send emails thanking Sabina,” says Peter about the new solution.
As an organization, several benefits have been seen with the new system. "We notice that the time savings are primarily for infrequent users. It is an intuitive system where you get in quickly and can work," Peter continues.
"Users find it much simpler and clearer," Sabina adds. ”For example, I think it took perhaps seventeen keystrokes to complete a member previously. Today it is two or three.".
In addition to a better user experience, the new system has also been able to automate some processes, "as it is on your heart that you love automation. Some have also been automated," Peter continues.
Switching member systems can be an extensive process, and then it is important that the new solution is future-proof. With a changing world, the concept of management has taken on a different meaning, "I think you also have to learn that management is a stage of change," Peter notes. "The journey is not over, but the journey is ongoing," Sabina states. With the flexibility of Softadmin® Member, SPF Seniorerna is now well equipped for both changes in the world around them and new needs internally.
Lessons learned from a system change
SPF Seniorerna's change of member system can in many ways be described as a success story with a complex system change that has generated positive reactions among both members and within the organization itself. We therefore asked Peter and Sabina to share some lessons learned from the process and what they consider to be the most important success factors. Certainly, Softadmin® Member is an extremely competent system, but a change of member system is about so much more than the choice of supplier and technical platform.
Be inspired by these six points for a successful system change!
- Be prepared to change working methods
Introducing a new system will require changed working methods. Implementing a new system that works exactly like the old one will not solve any problems and, above all, will not create any efficiency gains. Prepare the organization for a journey that involves new ways of doing things and possibly also a challenging of how things 'have always been done'.
- Opt for a long-term relationship
In choosing a supplier for a new member system, the relationship with the people on the other side will be crucial all the way from the first dialogue via contract writing and commissioning to management over many years. Invest early in the relationship and ensure that there is a healthy dynamic.
- Set aside time for internal reflection during the journey
A new system comes with new ways of working and it is easy to want to run fast and very many decisions are made in a limited time. Set aside the time required internally to anchor and see to the entirety of how the organization will work in the long term, it will pay off many times over for many years to come.
- Invite stakeholders into the process early
A system that drops from the sky at launch will never be well received, neither internally nor by the members. Start the anchoring work early in all ends, invite discussion and gather input widely. Ensure that everyone affected is involved – and has the opportunity to participate – throughout the journey so that there is also a shared ownership of the system the day it is time for launch.
- Be a clear client
In an IT project of this size, demands are also placed on you as the client. Make life easier with a clear internal project group and communicate early with the supplier about the project group's roles and powers. Everything that can facilitate communication between the parties will support the journey towards a finished system!
- Put effort into training
A change of member system can affect the everyday life of many both internally and externally. Ensure early on that there is a plan for training with content adapted to each target group and in formats that suit the recipient. In SPF Seniorerna's case, for example, they worked successfully a lot with video material instead of written documentation.
